Information on filling out an APA Registration Form

 Instructions for Multiple Registration Application and Report

 This form is used both as an application form and a report.  You fill as much information as you have available in the areas that are not shaded and send the information in.  Once we receive the form we will process your data and send back a new printed form with the information that you submitted plus any calculated information (in shaded fields).  If you need to add weaning or yearling information just fill in the additional information on the form that we return to you and return it to the office.  If this pre-printed form contains dams that you no longer own or are dead, please submit a disposal code so that we can keep the database clean. 

 

General Information:
 
  • Ownership of Dam-Progeny are to be registered in the name of the owner of record of the registered dam at the time of the calf's birth (unless Flush or Lease Agreement is on record at the APA office)
  • Please do not write in any SHADED BOXES.  These boxes are for computer generated data.
  • Enclose registration fee for each animal to be registered.  Enclose registration and transfer fees for each animal to be registered and transfered simultaneously.  Certificates will not be processed without complete payment.  Current fee schedules are available from the APA or on line at:

Fields required for registration:

  • Dam Reg # - Dam’s registration number
  • Sire Reg # - Sire’s registration number
  • Calf RE – Right ear tattoo for calf
  • Calf LE – Left ear tattoo for calf
  • Calf Reg # - Calf reg. number (only needed for a weight update, not needed for initial registration)
  • D.O.B. – Birthdate of calf
  • Sex – Sex of calf at birth
  • Name – (only needed if registering animal)
  • BWT – Calf’s birth weight
  • TWN – Twin code
  • MTG – Mating code
  • REG – Register this calf, either yes or no

Definitions for frequently asked about items:

D.A.C. – Dam’s Association Code – If dam is registered at a different breed organization, please submit 3 letter code of association plus the dam’s registration number in that organization.   You should also send a copy of the certificate for pedigree information.  This definition also applies for S.A.C.
DISP – Disposal code for dam or calf.  Disposal code for dam is listed on top line, disposal code for calf is on second line.  Please submit a disposal code if animal is no longer in your herd.  Disposal codes are listed below:
1.  Aborted/Premature Physical Defect 7.  Born Alive, died before weaning - other 13.  Culled - Fertility
2.  Stillborn/Full Term- Fertility 8.  Died after weaning - disease 14.  Culled - Performance/productivity
3.  Died at birth-defect performance/productivity 9.  Died after weaning - other 15.  Culled - temperment
4.  Died at birth - calving difficulty - temperament 10.  Died - age 16.  Culled - age
5.  Died at Birth - other 11.  Died while calving - calving difficulty 17.  Sold - other and sold, no transfer
6.  Born Alive, died before weaning - disease 12.  Culled - Physical defect

 

  • SEX – C for Female/Cow, B for Bull, S for Steer
  • GRP – Management group for birth.  Use this code to group calves that had the same opportunity during gestation.  See weaning management group definition below for an example.
  • TWN – Twin Code – 1 for Single birth, 2 for twin, 3 for other
  • MTG – Mating – Mating type that produced this animal (1 = AI, 2 = Natural, 3 = Other)
  • CLR – Color (1= Red or Red w/white, 2 =Black or black w/white, 3 =Other, tan, etc)
  • HPS – H for Horned, P for Polled, S for Scurred
  • REG – Register this animal?  Y=Yes, N=No
  • CE – Calving Ease
1.  Unassisted 4. Caesarean 7.  Induced or Premature
2.  Easy Pull 5.  Abnormal Presentation
3.  Hard Pull 6.  Dead on Arrival

WEANING INFORMATION

  • Wean Date – Weaning date.
  • WN WT – Weaning weight. (Weight taken between 160 & 250 days of age.  Animals weighed outside this age span will be marked irregular)
  • DAM WT – Dam’s weight.  (On the day of the calf’s weaning)
  • DAM HT – Dam’s height.  (On the day of the calf’s weaning)
  • BCS – Dam’s Body Condition Score on the date of the calf’s weaning.  (1=Emaciated, 2=Poor, 3=Thin, 4=Borderline, 5=Moderate, 6=High Moderate, 7=Good, 8=Fat, 9=Extremely Fat)
  • FC – Feed code.  (0=None, 1=No creep, 2=Creep, 3=Other, 4=Foster Dam, 5=Twin raised as twin, 6=Twin raised as single, 7=Embryo Transfer)
  • GRP – Calf’s weaning management group.  Group animals together with the same code depending upon treatment from birth to weaning.  If animals are treated alike give them the same code such as 1.  If animals are treated differently from each other, give them 2 different codes. 
  • SEX – Calf’s sex at weaning.  (B=bull, C=cow, S=steer)

YEARLING INFORMATION

  •  FC – Feed code for yearling.  (1=Pasture & roughage only, 2=Pasture or roughage with supplement, 3=Dry lot fed, low energy ration, 4=Dry lot fed, high energy ration, 5=Fitted, 6=Bull test, 7=Other)
  •  GRP – Yearling management group.  (See weaning information above)

OTHER INFORMATION

  • Transfer On Entry  (Use this section only when transferring animal at the same time as registering)
  • Name:                     Name of breeder buying the animal
  • Address:                Address of breeder buying animal. 
  • Breeder No:           If member, breeder number of breeder buying animal.
  • Date of Sale:          Actual date the animal was sold to the new owner.
  • Certificate to:        Certificates may be sent to either the Buyer or the Seller  (Circle ONE)
